We want to make sure you feel welcome and have all your questions answered by the end. We are also planning a quick tour around the pool area to get an idea of what a real swim meet will look like outside.

  • 5-10 year-olds may attend either the 7:30am or 8:30am practices - whichever works best for your family. You may switch practices whenever needed.
  • 11-12 year-olds are strongly encouraged, but not required, to attend the 6:30am practice.
  • 13-18 year-olds should attend the 6:30am practice.

May 27 - July 11: (No practice July 4, 7 or 8)

  • 6:30 am - 7:25 am (11-18 year-olds or by invitation of the Coach.)
  • 7:30 am - 8:25 am (5-10 year-olds) - there will be a lane for 11-12 if needed.
  • 8:30 am - 9:25 am (5-10 year-olds)

The pool is located just inside the Hills at Cherry Creek West neighborhood, off of Havana St. You may enter the neighborhood from Havana St. or Belleview Ave.

Pool Details: Hills West has an 8-lane meter pool. The deep end is 5’ and they have high blocks so remind your swimmers to dive out, not down.

Entrance: Enter the pool area by the open side gate located to the left of the main MACs entrance, near the tennis courts.

Arrive by: You should aim to arrive by 6:50am in order find parking, unload and find a place to set up.

Our Warm-Up Time:

Hills West Waves: 7:00am – 7:20am

Dam West Dolphins: 7:20am - 7:40am

One-Way Starts: 7:40-7:50am – Hills West Lanes 1-4/Dam West Dolphins Lanes 5-8

Meet Starts at: 8:00 am

Team Colors: Hills West is blue and silver so there will be a lot of blue!

Parking: There is very limited space available in our small parking lot except for 2 reserved spaces, one for a Parent Rep and Head Coach. There is no parking on either side of the curved median directly in front of the pool entrance to Havana St., as this is the entrance to the neighborhood and these homes will have cars ticketed. They will put out cones as a reminder for cars not to park there. You may park along the streets throughout the Hills West neighborhood. Please do not block driveways. There also is parking along both sides of Havana Street in front of the pool. I am attaching a map to help.

Meet Check-In: You can enter the pool area either through the clubhouse or follow the sidewalk to the left which will lead you to the grassy seating area. Our Check-In person and Volunteer Coordinator will be at a picnic table set up inside the front entrance of the pool. Please be sure to find them and check in!

Visitor Seating Area:

  • Swimmers and families can set up in the park right outside of the pool fence, to the South of the starting blocks.
  • They ask that there be no deck seating and to keep the pool deck for standing spectators only. The only exception is that each team may set up a shade canopy for coaches along the side of the pool. They will have chairs set up for coaches. The team’s coaches area will be along the East side of the pool.

Volunteer Meetings: I didn’t specify in last week’s information (my bad!) but the morning Timer and S&T Judges meetings are for ALL timers and officials, both shifts. There is only the one meeting for everyone.

  • ●Timer and Officials Meetings will be around 7:30/7:40am.

They will announce the meetings prior to the start.

Restrooms: Located in the clubhouse.

Concessions: Breakfast burritos, fruit, hot dogs and hamburgers will be available for purchase as well as water, coffee, soda, assorted beverages and a large variety of other meal items and snacks. They accept cash and are trying out Venmo this meet!

Meet Entries & Programs: Meet programs will not be for sale, they will have a copy posted at the pool. Families should print out the meet program if they would like a hard copy. They will provide meet programs to: Coaches (6 per team); Stroke & Turn Judges, Heating, Each Lane, Order of Finish, DQ Scribes, Meet Ref, Deck Ref, Starter, and Announcer.

Results: Results will be posted somewhere on the wall of the clubhouse to the right.

○ We use the “Zello” app for Stroke and Turn. Please send us the names of your Stroke and Turn judges. Stroke and Turn judges need to bring a charged phone and wired headphones.

PARKING: The 2 parking spots closest to the playground are RESERVED for VISTING PARENT REP & COACH. If you arrive before we get the pylons out, please don’t park in those 2 spots!

You can park anywhere in the neighborhood but please be courteous to our neighbors and don’t block any driveways. Also, do not park around the island entrance at Nome. You can also park at Polton Elementary. By road, it’s on the other side of the neighborhood but it’s a quick 6-minute walk through the greenbelt.


DAM WEST SEATING AREA: We will sit in the grassy area on the north side of the pool. It can get pretty crowded so please feel free to sit on the outside of the fence as well - wherever you are comfortable - although please stay on the north side of the pool – we need to be able to find your swimmer(s)! There is a tree with some shade but please bring your own tents or umbrellas for shade because the rest of that area is straight up sun! The lounge chairs will be put away so please bring your own chairs. Also, FYI, where the grass meets the concrete will become a wet, soggy marsh so you will definitely want a chair to sit there!


MEET CHECK-IN: There will be a check-in person and volunteer coordinator at the front gate to check you and your swimmer in. Please have your swimmer's events on their arm and their last name on their back written in sharpie. They can help you at check-in if you still need help.


MEET PROGRAM: Attached are the Meet Program, Individual Entry List and List of the Combined Events. I recommend printing out a copy of the Meet Program, highlighting your swimmers and marking it up with the combinations so you can follow along and see where we are and what’s coming up next.

A copy of the Meet Program will be posted on a giant white board hanging on the fence near our seating area. It will be facing inward towards the pool. It will not be marked up with the combinations.


RESULTS: Results will be posted on a white board hanging on the north fence, outside of the pool, facing the parking lot. Our meet manager will be posting results asap after the end of each event. (IE: They will post them after the last 15-18 event of each stroke.)


PLEASE CHECK YOUR RESULTS OFTEN!! We had a LOT of problems last week at Hills West and it is extremely difficult to change things once the meet is over. Check your swimmer(s)’ times and make sure everything looks reasonable. If you have any questions about them, notify Coach Emilie or me, ASAP. Ideally, we want to respond to any issues within 30 minutes.


INFORMATION MEETINGS: All information meetings will be held at 7:10 am- please listen for announcements for exact locations and times in case they change. All meetings are for BOTH SHIFTS so regardless of your shift, please show up.

  • S&T meeting at the Lifeguard stand in the Officials Area.
  • ALL Timers (1st and 2nd shift) grassy area behind the officials
  • Heating meeting in the heating area (the baby pool area.)

FLY-OVERS: Please remind your swimmer(s) that we will be doing fly-overs. What is a fly-over? It means at the end of the Freestyle, Butterfly, Breast and IM’s, the swimmers will stay in the water, close to the wall and to the side of the dive block. They should remain quiet and still while the next event begins. Once the next event has entered the pool the Referee will instruct them to exit the pool quickly. (Fly-overs are not used for Backstroke or Relays.)


CONCESSIONS: There will be breakfast burritos, pop tarts and mini packs of donuts for breakfast choices. There will be hot dogs and hamburgers available for lunch as well as lots of drinks and snacks. Cash is preferred and easiest but we do have the means to accept a credit card via Square. If your swimmer has Dolphin Dollars from this season or past seasons they can use them here. They are worth 25 cents each.

CLEAN-UP: ANY help after the meet is GREATLY appreciated! I know we all want to go home after a long, hot meet but there are still things to be done.

  • Everything needs to be put away.
  • The lounge chairs need to be put back out on the deck.
  • Trash needs to be picked up off the ground.

We always want to leave any pool area as nice, or nicer, than when we got there. (This goes for away meets too.) Please and Thank you!
